Terms of Service

1. Introduction

These Terms and Conditions govern your use of services provided by Go Do Africa (“the Company”, “we”, “our”, “us”), a Destination Management Company operating in Botswana.

These terms are designed to clearly outline the relationship between you and Go Do Africa, as well as the responsibilities of all parties involved in your travel arrangements. By making a booking, using our services, or accessing our materials, you acknowledge that you have read, understood, and agreed to be bound by these Terms & Conditions.

2. Definitions

  • Company: Go Do Africa
  • Client: The individual, group, or entity making a booking
  • Agent: Any third-party travel advisor or reseller acting on behalf of the Client
  • Suppliers: Third-party providers (lodges, airlines, transporters, guides)
  • Services: All travel arrangements facilitated by the Company

These definitions are provided to ensure clarity throughout this document. Whenever these terms are used, they carry the meanings defined above.

Section A: Booking, Payments & Commercial Terms

3. Nature of Business (Agency Role)

Go Do Africa acts as an intermediary between you and various third-party suppliers such as lodges, airlines, and transport providers. This means that while we design and coordinate your safari experience, the actual delivery of services is carried out by these independent suppliers.

When you make a booking, you are entering into a direct agreement with those suppliers, and their individual terms and conditions will also apply. We are responsible for arranging and managing your itinerary, but not for the direct operation of services.

4. Bookings & Confirmation

All bookings are subject to availability at the time of request. A booking is only considered confirmed once written confirmation has been issued by us and the required payment has been received and cleared.

Until both of these conditions are met, your booking remains provisional. If payment deadlines are not adhered to, we reserve the right to release the booking without prior notice.

5. Payment Terms

To secure your safari, a non-refundable deposit of 30% is required at the time of booking. This deposit confirms your commitment and allows us to secure services on your behalf.

Certain elements such as flights, permits, or specific lodges may require full payment upfront due to supplier policies. The remaining balance for your trip must be paid no later than 60 days prior to travel.

If your booking is made within 60 days of travel, full payment will be required immediately to confirm arrangements. All payments must be made via approved methods, and any associated bank charges or currency fluctuations are the responsibility of the Client or Agent.

6. Prices & Adjustments

All prices are quoted per person unless otherwise specified and are based on current rates at the time of quotation. However, travel pricing is dynamic and may be affected by factors beyond our control.

These include currency fluctuations, changes in supplier pricing, government taxes, park fees, or fuel surcharges. Until full payment has been received, we reserve the right to adjust prices accordingly and pass on any increases.

7. Changes to Bookings

If you wish to make changes to your booking, we will do our best to accommodate your request, subject to availability. However, such changes may incur additional costs or penalties imposed by suppliers.

In cases where changes are necessary due to circumstances beyond our control, we will offer suitable alternatives of a similar standard wherever possible. Once travel has commenced, any additional costs resulting from changes will be your responsibility.

8. Cancellation Policy

If you need to cancel your booking, cancellation fees will apply based on how close to your travel date the cancellation occurs. These fees reflect the commitments we have already made to suppliers on your behalf.

Cancellation charges are as follows:

  • 60+ days before travel: Deposit forfeited
  • 59–30 days: 50%
  • 29–15 days: 75%
  • 14 days or less: 100%

Additional supplier and airline penalties may apply, in some cases up to 100% of the booking value. All cancellations must be submitted in writing.

Refunds

Refunds are subject to approval by suppliers and will be processed within 30–60 working days once received. Refunds will be made less any bank charges and currency differences.

No refunds will be provided for no-shows, unused services, or changes such as late arrivals or early departures.

9. Special Requests

We understand that every traveler is unique, and we will always aim to accommodate special requests such as dietary requirements, medical needs, or mobility considerations.

However, it is essential that these are communicated at the time of booking. While we will make every effort to meet these needs, we cannot guarantee that all suppliers will be able to accommodate them. In some cases, we may need to decline a booking if requirements cannot be safely or reasonably met.

Section B: Travel Terms & Responsibilities

10. Travel Insurance (Mandatory)

Comprehensive travel insurance is mandatory for all clients traveling with Go Do Africa. This insurance must cover medical emergencies, evacuation, trip cancellations, and loss or damage to personal belongings.

Travel in remote safari destinations can involve logistical challenges, and insurance provides essential protection. We cannot be held liable for any costs incurred due to insufficient or absent insurance coverage.

11. Flights & Transport

All flight and transport timings provided are estimates and may change due to operational requirements, weather conditions, or airline schedules.

While we carefully coordinate all logistics, we cannot accept responsibility for delays or disruptions beyond our control. Clients are advised to reconfirm international and regional flights at least 72 hours before departure.

12. Unscheduled Extensions

In the event of unexpected delays such as weather disruptions, airline issues, or strikes—any additional costs incurred (including accommodation, meals, or transport) will be for the Client’s account.

13. Travel Documentation

Travel documents, including itineraries and vouchers, will only be issued once full payment has been received and cleared.

It is the Client’s responsibility to carefully review all documents upon receipt and ensure that all details are accurate before travel.

14. Passports, Visas & Health

Clients are solely responsible for ensuring that they meet all passport, visa, and health requirements for their journey.

Passports must be valid for at least six months beyond the intended travel dates, and any necessary visas or vaccinations must be obtained in advance.

15. Health & Safety

Safari travel offers incredible experiences but also involves inherent risks, particularly when interacting with wildlife or visiting remote locations.

By participating in these activities, Clients acknowledge and accept these risks. All activities are undertaken at the Client’s own discretion and responsibility.

16. Baggage Restrictions

Due to the nature of light aircraft used in many safari destinations, strict baggage restrictions apply.

Typically, luggage is limited to 15–20 kg per person and must be packed in soft-sided bags. These limitations are essential for safety and operational efficiency.

17. Child Policy

Traveling with children is subject to the policies of individual suppliers, which may include age restrictions or specific safety requirements.

Parents or guardians are fully responsible for the supervision, safety, and behavior of minors throughout the journey.

18. Itinerary Changes

While every effort is made to operate itineraries as planned, circumstances may require adjustments.

This may include changes to accommodation, routing, or activities. In such cases, we will always aim to provide alternatives of a similar standard to ensure your experience remains seamless.

19. Complaints

If you experience any issues during your safari, it is important to notify us immediately so that we have the opportunity to resolve them in real time.

Formal complaints must be submitted in writing within 14 days of completing your यात्रा, along with any supporting documentation.

20. Liability Disclaimer

Go Do Africa acts as an intermediary and cannot be held liable for any injury, loss, damage, delay, or inconvenience caused by third-party suppliers or unforeseen circumstances.

While we carefully select our partners, the responsibility for service delivery rests with those suppliers. Participation in all activities is at the Client’s own risk.

21. Indemnity

By booking with us, you agree to indemnify and hold Go Do Africa harmless against any claims, damages, or legal costs arising from your participation in the यात्रा or use of our services.

22. Force Majeure

Force majeure refers to events beyond our control, such as natural disasters, pandemics, political unrest, or airline disruptions.

In such cases, we cannot be held liable for changes, cancellations, or losses. Refunds are not guaranteed and will depend on supplier policies.

23. Confidentiality

All itineraries, pricing structures, and commercial terms provided by Go Do Africa are confidential and intended solely for your use.

They may not be shared, reproduced, or distributed without our prior written consent.

24. Data Protection

We are committed to protecting your personal information. All data is processed in accordance with applicable data protection laws and is only shared with suppliers as necessary to fulfill your booking.

We take reasonable steps to ensure your information is handled securely and confidentially.

25. Intellectual Property

All content provided by Go Do Africa, including itineraries, images, and branding, is protected by intellectual property laws.

You may not reproduce, distribute, or use this content without our written permission. Website content may be updated or changed at any time.

26. Governing Law

These Terms and Conditions are governed by the laws of Botswana.

Any disputes arising from these Terms will be subject to the exclusive jurisdiction of the courts of Botswana.

27. General Information

Clients are responsible for reviewing all travel documents carefully before departure and notifying us of any errors.

We are not liable for issues arising from unreported inaccuracies. Additionally, disruptions such as hotel renovations or service changes do not automatically qualify for compensation.

Clients are also responsible for any personal expenses incurred during travel, including incidental charges and credit card transactions.

28. Acceptance of Terms

By proceeding with a booking, making a payment, or confirming services, you acknowledge that you have read and accepted these Terms & Conditions in full.

Go Do Africa reserves the right to update or modify these Terms at any time. The version in effect at the time of booking will apply.
